We often talk about distractions at work as a productivity problem. Someone checks a message, loses focus and takes longer to finish a task. But in a warehouse, on a production line or behind the wheel, the consequences can be far more serious. A few seconds of lost attention can mean missing a warning signal, stepping into the path of a vehicle or failing to notice that conditions have changed.

Phones are an obvious concern, but they are only part of the picture. Emails, chat notifications, noise, interruptions, fatigue, stress and multitasking can all pull attention away from the job. So, what are the most common distractions, why do they matter for safety and what can organisations do about them?

What are the most common distractions at work?

Think about how often your attention gets pulled away during a normal working day. Sometimes the distraction is obvious, like a phone alert or a colleague asking a question. Sometimes it comes from within, like fatigue, frustration or worrying about something outside work. Common examples include:

  • Smartphones, calls and notifications
  • Social media and personal browsing
  • Emails, messaging tools and chat apps
  • Noise, alarms and activity in the surrounding area
  • Colleague interruptions and unnecessary meetings
  • Trying to complete several tasks at once
  • Fatigue, stress and time pressure
  • Poorly designed work areas or unclear workflows

Of course, the consequences are not the same in every job. An unexpected conversation may simply slow down a piece of office work. But if it happens while someone is isolating equipment, driving a forklift or working at height, that same interruption can create an immediate hazard.

Workplace distractions are clearly common, even if most available data focuses on productivity rather than safety. In a 2024 U.S. survey, 80% of employees said they could not go an hour without being distracted, while 59% experienced interruptions every 30 minutes or less. Another survey found that employers considered phones and texting the biggest productivity killers, followed by internet use, gossip and social media.(1),(2)

Of course, these are employers' views about lost productivity. They do not prove that phones are the main cause of safety incidents in every workplace. The distractions that matter most will depend on the task, the environment and the people doing the work.

Why workplace distractions are a safety issue, not just a productivity problem

We only have so much attention available at one time. If part of it is pulled towards a notification, a conversation or a worry, less is left for the job in front of us. That matters in any role, but the outcome can be very different when the work is high risk.

Distraction can affect:

  • Hazard recognition on a construction site
  • Machine operation and quality checks in manufacturing
  • Pedestrian awareness in warehouses and logistics centres
  • Vehicle control in transport
  • Communication during maintenance or energy isolation
  • Medication checks and patient monitoring in healthcare

And it is not always the distracted person who faces the consequences. A brief lapse in attention can also expose colleagues, contractors, patients, road users or members of the public. Healthcare research gives us a good example. In an observational study of 98 nurses administering medication in two Australian hospitals, each interruption was associated with a 12.1% increase in procedural failures and a 12.7% increase in clinical errors.(3) These figures are specific to medication administration, so they cannot be applied to every workplace. But they show what can happen when a task depends on attention, accuracy and doing things in the right order.

Distraction rarely happens on its own either. Add rushing, fatigue, frustration or complacency, and the risk grows. That is how an everyday interruption can contribute to a critical error.

How mobile phone distraction increases workplace risk

So why focus on mobile phones? Because one small device brings several distractions together: calls, messages, social media, news and app notifications. Checking can become almost automatic, even when there is no real reason to look. But the phone itself is not necessarily the problem. Frontline workers may need it for instructions, inspections, reporting, lone-worker contact or emergency communication. The real question is when, where and how it is being used.

Examples of unsafe use include:

  • Reading a message while walking through a warehouse
  • Looking at a screen near moving machinery
  • Making a call while driving or operating mobile equipment
  • Taking a photograph without first moving to a safe position
  • Missing a spoken instruction, alarm or change in conditions

Cognitive distraction: why glancing at a phone is never just a second

It's easy to think, “I only looked for a second.” But checking a notification forces your brain to switch from one subject to another. Looking back at the task does not mean your full attention has returned. Part of your mind may still be processing the message, thinking about a reply or trying to remember where you stopped. This is sometimes called attention residue. In simple terms, you have to rebuild the picture: What was I doing? What has changed? What comes next?

A workplace study led by Gloria Mark makes this very real. It found that 81.9% of interrupted tasks were resumed on the same day, but people took an average of 23 minutes and 15 seconds to return to the original task.(4) That does not mean they did nothing for 23 minutes. They often moved through two other tasks before coming back, creating even more switching and more chances to lose track of where they were. In safety-critical work, that transition matters. A missed check or delayed reaction can be enough to break the safe sequence of a task.

Physical risk: phones and high-risk working environments

For some tasks, your eyes, hands and mind all need to stay on the job. Phone use becomes especially dangerous when someone is:

  • Driving for work
  • Operating machinery or mobile equipment
  • Working at height
  • Handling tools or hazardous materials
  • Moving through areas shared by vehicles and pedestrians
  • Working close to live systems, suspended loads or heavy equipment

Driving is the clearest example. NIOSH recommends that employers ban all phone use, including hands-free use, while workers drive company vehicles. It also advises workers to pull over somewhere safe before looking up directions, texting or making a call.(7) The UK Health and Safety Executive also warns that hands-free calls can increase collision risk.(8)

How organisations can reduce distractions at work

No one can stay perfectly focused throughout an entire shift. That is not a realistic goal. A better approach is to identify the moments when distraction could cause serious harm, then organise the work and build habits that protect attention when it matters most.

Start with this workplace distraction reduction checklist:

  • Identify tasks and locations where a loss of attention could cause harm.
  • Review phone-use rules with the people who do the work.
  • Create clearly marked phone-free zones where appropriate.
  • Provide safe places or planned times for essential communication.
  • Reduce unnecessary alerts, messages and competing alarms.
  • Train supervisors to model the expected behaviour.
  • Include distraction in briefings and task risk assessments.
  • Encourage reporting of distraction-related near misses.
  • Review incident data for interruption, fatigue and task-switching patterns.
  • Reinforce safe habits regularly, not only after an incident.

And do not look only at workers' personal phones. Organisations create distractions too. A phone ban will not fix unclear priorities, excessive radio traffic, badly timed messages or supervisors who interrupt people during critical tasks.

Set a clear mobile phone policy for frontline teams

“Use phones responsibly” sounds reasonable, but what does it actually mean on a busy shift? A useful mobile phone policy needs to be specific enough to guide a real decision. It should explain:

  • When personal and work phones may be used
  • Which tasks and areas require phones to be stored away
  • Where workers can stop safely to check a device
  • How emergency and lone-worker communication will be handled
  • The rules for driving and operating machinery
  • How supervisors should respond to unsafe use
  • How the rules apply to contractors and visitors

The rules also need to work both ways. If managers call people while they are driving or expect immediate replies during critical tasks, the policy will quickly lose credibility.

Use technology to reinforce safe habits, not just restrict phones

Talking about mobile learning just after warning about phone distractions may sound a little contradictory. But the difference is when and how the phone is used. It creates a risk when it pulls attention away from a safety-critical task. Used before a shift, during planned training or in a safe break area, it can support learning and reinforce safer habits.

Short learning activities and safety nudges should always be delivered at safe, appropriate moments. Workers should never be encouraged to interact with a device while walking, driving or performing a critical task.

Why safer habits matter more than one-off safety training

Induction and annual training can explain the rules. But will someone remember that slide six months later, in the middle of a busy shift? Distraction is often habitual. People reach for a phone without consciously deciding to because they have repeated that action thousands of times. One presentation is unlikely to change such a strong pattern. People need regular opportunities to notice the risk, practise a safer response and connect it to their daily work.

From compliance to reflex: the goal of modern safety training

Knowing that phones are prohibited near machinery is one thing. Automatically stepping into a safe area before checking one is another. That gap between knowing and doing is where habits matter. The response needs to be simple enough to use in the moment: notice the urge to check, pause, move somewhere safe and only then use the device.

The same idea applies to distractions we cannot simply remove. When people learn to notice that rushing, fatigue or frustration is affecting their attention, they have a chance to do something before an error happens.

The role of micro-learning and daily reinforcement
